1. Who this covers
This policy explains how SmarterTel, a division of LiraTechs LLC ("SmarterTel," "we"), handles personal information when you visit smartertel.ai, use the SmarterTel Voice, Messages, or Fax portals, use the SmarterTel Connect app, or are a customer, employee of a customer, or someone who calls, texts, or faxes a business that uses SmarterTel.
When we process communications on behalf of a business customer, that business controls the data and we act as its service provider. Their own privacy notice governs how they use your information; this policy governs what SmarterTel does.
2. What we collect
Life-safety line boxes report line status, cellular signal, power, and battery health so we can supervise them. They do not carry the content of elevator or alarm calls beyond routing them.
3. How we use it
- To deliver calls, texts, faxes, and life-safety signals and keep them working.
- To bill accurately, provide support, and troubleshoot problems.
- To register and maintain E911 addresses and comply with FCC and carrier requirements (including texting program registration).
- To detect fraud, toll abuse, and unauthorized access.
- To tell you about service changes, outages, or renewals. We don't send consumer marketing.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Calls, voicemail & AI
Voicemail transcription, call summaries, and to-do extraction run on the customer's own SmarterTel phone system. Content is not sent to third-party AI providers and is never used to train models outside that system. Summaries are visible only to users on that customer's account.
Call recording is off by default. A customer may enable it per line; when they do, every recorded call plays an announcement to all parties, consistent with California's two-party consent law (Cal. Penal Code § 632). Recordings belong to the customer and are stored on their system for the retention period they choose.
5. Texting & fax
If you text a business that uses SmarterTel Messages, your number and messages are stored in that business's inbox so they can respond and keep a record. Mobile opt-in data and consent are never shared with third parties for marketing. Reply STOP at any time; see the Messaging Terms.
Faxes are transmitted encrypted in transit and stored as PDFs in the customer's fax portal with delivery receipts. For healthcare customers, we sign a Business Associate Agreement on request and handle fax content accordingly.
6. Who we share with
- Carriers and network partners — to route calls, texts, faxes, and cellular life-safety signals. They receive only what's needed to deliver the communication.
- 911 systems — the registered address and callback number for each phone, as required by law.
- Your alarm or elevator monitoring company — signals from your panels, exactly as they arrived on copper lines.
- Service providers under contract to us (hosting, billing, email) who may not use the data for their own purposes.
- Legal requirements — when a valid subpoena, court order, or law requires it, or to protect safety.
7. Security & retention
Calls and portal traffic are encrypted in transit. Systems are access-controlled, monitored, and backed up with encrypted backups. Each customer's data is separated from every other customer's. No system is perfectly secure; if a breach affects you, we'll notify you as California law requires.
Call records are kept for billing and regulatory purposes (typically 18 months). Message, fax, voicemail, and recording content is kept for as long as the customer's account is active and for the retention period they set; on cancellation, content is deleted within 90 days unless the customer requests an export first.
8. Your choices & rights
You can ask us what personal information we hold about you, ask us to correct or delete it, and ask how it has been used or shared. California residents have these rights under the CCPA/CPRA; we don't discriminate for exercising them. If your information is held on a business customer's system, we'll route your request to that business and help them respond.
Text STOP to end texts from any business. Ask the business to stop recording your calls. Email hello@smartertel.ai for anything else — a person answers.
9. Website, cookies & the app
smartertel.ai uses only the cookies needed to run the site and portal logins, plus basic, aggregated traffic analytics. No advertising trackers. The bill-review form sends us only what you type into it.
The SmarterTel Connect app asks for microphone access (to place calls), notifications (to ring), and optionally contacts (to show names on calls — matched on your device, never uploaded). You can change these in iOS Settings at any time. We do not collect location from the app.
